Act as the point of contact between the executives and internal/external client
• To assist with Hotel, Transport and Flight arrangements, reservation for traders in Singapore and
other countries
• Office admin support for business meetings, which includes preparation of meeting material, room
booking, restaurant reservation
• Coordinate with HR BP team to prepare all onboarding items for all new joiners, as well as updating of
telephone list
• Meet with clients to take detailed ordering briefs and clarify specific requirements of each project
• Process payment from vendors, verify invoices and submissions to account team
• Undertake the tasks of receiving calls, take messages and routing correspondence
• Maintain diary, arrange meetings and appointments and provide reminders
• Monitor office supplies, and research advantageous deals or suppliers
• Support and manage all immigration (entry visa, visa application, and work pass application, renewaland update or cancellation of EP, DP and LOI) for traders
• To manage rental of routers for business purpose
• Manage phone calls and emails, respond promptly to managers queries
• Create and update management work plan under a shared folder
• Develop and carry out an efficient documentation and filing system.
• To cover receptionist duties, provide first rate service and support at the front office
• Handle incoming, outgoing, local and international mails and courier consignments
• Assist in conference call booking and arrangement when required
• Coordinate with travel provider and travel expenses as necessary
• Coordinate internal resources and third parties/vendors for the flawless execution of projects
• Ensure that all projects are delivered on-time, within scope and within budget
• Ensure resource availability and allocation
• Develop a detailed project plan to monitor and track progress
• Manage changes to the project scope, project schedule and project costs using appropriate
verification techniques
• Report and escalate to management as needed
• Establish and maintain relationships with third parties/vendors
• Create and maintain comprehensive project documentation
• Attend conferences and training as required to maintain proficiency
• All other ad-hoc duties and administrative tasks as assigned
